Job Summary:

The Administrative Assistant will oversee the general administrative functions and activities of the office.

Supervisory Responsibilities:

  • None

Duties/Responsibilities:

  • Provides clerical support when needed to assist staff with assigned administrative duties such as answering phones, sorting, and distributing mail, and preparing documents.
  • Serve as back up to the reception desk.
  • Maintains inventory of office supplies; orders new supplies as needed.
  • Maintains office files; implements an efficient system for other staff to access files and records.
  • Provides support to Senior Management Team such as maintaining comprehensive and accurate corporate records, documents, and reports.
  • Ensure that urgent and priority correspondence, scheduling issues, etc. are communicated in a timely and effective manner.
  • Maintain logs of company vehicles to ensure all insurance and registrations are current.
  • Performs or facilitates maintenance of office equipment with outside vendors
  • Provides internal support for all IT issues with outside vendors including computers, phones, internet, etc.
  • Organize meetings, including scheduling and sending reminders when applicable.
  • Planning company sponsored events.
  • Participate in the organizing of employee team building events.
  • Performs other related duties as assigned

Required Skills/Abilities:

  • Extensive knowledge of office management procedures.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Proficient with Microsoft Office Suite.
  • Absolute discretion and confidentiality.
  • Excellent time management skills with the ability to organize a daily workload of priorities meeting deadlines in a fast-paced quickly changing environment.

Education and Experience:

  • Minimum Associates Degree
  • 3-5 years in Office Administration
  • Technical IT knowledge and experience
  • Property Management software experience a plus

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
